How to run Aso Ebi for a wedding without losing track of who paid
The short answer
Put every Aso Ebi package on one Spray page with a price, stock and closing date, and have guests pay to the page's own account number or by card. Spray matches each payment by amount and sender name, sends anything unclear to a review queue, and keeps one list of who has paid, who still owes and who has collected, so you're not matching screenshots at midnight.
- One list of orders instead of screenshots and a notebook.
- Payments match by amount and name; the rest wait for review.
- Closing dates and stock limits stop overselling.
- Coordinators get their own access: orders and deliveries only.
The coordinator's job, made smaller
Pay-later is where Aso Ebi goes wrong. Reporting from Lagos found that guests who arrange to pay later often don't, and it strains friendships. Wedding planners' usual advice is a tracking sheet of every name, amount and date.12
Whoever runs Aso Ebi does a lot of quiet work: collecting money, matching it to names, answering ‘have you received mine?’, giving the tailor numbers and handing out fabric. Most of it is record-keeping. Spray keeps the records, so you can deal with the fabric and the people.
Set it up, step by step
Get coordinator access
The couple adds you to their page as a shop coordinator. You manage orders and deliveries, without seeing the rest of their page or their payouts.
Agree the packages
Each family's fabric sits in its own section, Bride's side and Groom's side. Each package has a photo, a price, a short description like Lace + gele, and how many there are.
Set a closing date
About four weeks before the wedding is common, so tailors have time. Orders close at 11:59 pm on that date.
Choose pickup or delivery
Set a pickup address, delivery, or both, for each item.
Share the link with the account number
Post it in the family groups. Guests who send exactly the price, or a whole multiple of it, are matched automatically.
How payments find their owners
| What arrives | What happens |
|---|---|
| Exactly one package's price | Matched to that package, quantity 1 |
| A whole multiple of a price | Matched to that package, with the quantity |
| Part of an order, from a guest who has ordered | Added to their order by name. The order shows Partially paid. |
| An amount that fits nothing | Marked Needs review, with a suggestion such as Lace + gele and a cap |
From the review queue you can accept a suggestion, split one transfer across items (useful when someone pays for their whole family), or change any match. Cash handed over at a fitting can be logged by hand, so stock and totals stay right.
Chasing without nagging
- Guests who aren't ready can tap Remind me and pick when, including Before orders close. Spray sends the reminder, not you.
- One message in the group a week before the closing date is usually enough.
- Your list shows who has paid, who has partly paid and who hasn't yet, so you only message the people who need it.
Handing out the fabric
- Mark each order Picked up or Delivered as it goes out.
- When an item sells out, guests see it as sold out and can't order more.
- When the tailor needs numbers, the orders list has them by package.
Questions
- How do I know who has paid for Aso Ebi?
- Every payment to the page's account number is matched to a guest by amount or name, or sent to review. Each order shows as Paid, Partially paid or Pending.
- What if someone pays for several people in one transfer?
- Several of the same package at the same price match automatically. Anything else goes to review, where it can be split across items.
- Can guests pay in instalments?
- Yes. If the sender's name matches a guest with an open order, each payment is added to it, and the order shows Partially paid until it's complete.
